Privacy Policy

This Privacy Policy describes how Maidly LLC (“Maidly,” “we,” “our,” or “us”) collects, uses, shares, and protects personal information when you access or use our Customer Relationship Management system (the “Maidly CRM” or “Platform”).
1. Information We Collect
- Business and Contact Information: client names, addresses, phone numbers, email addresses, and job details.
- Account Information: usernames, passwords, and user preferences.
- Transactional Information: job records, scheduling, invoices, and payments processed through integrated providers.
- Referral and Payout Information: referral links, referral activity, earnings, payout status, and payout setup information needed to send referral payouts.
- Technical Information: log data, device/browser information, cookies, and analytics data.
If you participate in the referral program and want to receive referral payouts by ACH or direct deposit, you must provide payout information, including your bank account routing number and account number, through our payout setup flow.
That payout setup flow may be hosted by a third-party payout provider acting on our behalf. In that case, the provider may collect the full routing number and account number directly, while Maidly may receive only limited payout-related details such as the bank name, masked account information, payout status, processor identifiers, and error or return messages needed to support, reconcile, and audit payouts.
We do not intentionally collect Social Security numbers or health information through the Platform unless we clearly tell you otherwise before collection.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and improve the Maidly CRM.
- Manage scheduling, invoicing, and service operations.
- Administer the referral program, determine payout eligibility, send referral payouts, and resolve failed or returned payouts.
- Authenticate and secure user accounts.
- Enable and manage integrations with third-party services (e.g., Thumbtack, QuickBooks, Mailgun, Quo).
- Detect fraud, abuse, duplicate referrals, chargebacks, refunds, and other payout or account risks.
- Analyze usage trends to improve functionality and user experience.
- Comply with legal obligations.
We do not use collected data for external marketing campaigns without explicit user consent.
3. Sharing of Information
We may share information with trusted third parties, including:
- Integration Partners: such as Thumbtack, Intuit QuickBooks, Mailgun, or Quo, when users connect these services to their Maidly account.
- Service Providers: hosting platforms (Render), email/SMS providers, analytics tools, and IT support.
- Payout Providers and Banking Partners: third-party payout processors, payment operations vendors, and financial institutions involved in setting up, sending, reconciling, or returning referral payouts.
- Legal & Compliance: when required by law or to protect our rights.
We do not sell or rent personal information.
4. Referral Payout Data
If you participate in the referral program, we use referral and payout information to verify that a referral qualifies, prevent fraud and abuse, keep an audit trail, send payouts, handle reversals or offsets, and respond to payout support issues.
If a third-party payout provider hosts the payout setup flow, that provider may store and process the full bank routing number and account number under its own privacy and security controls. Maidly may keep related business records such as payout history, masked account information, bank name, payout status, payout method, provider identifiers, and communications about payout problems.
5. Integrations and Connected Accounts
Users may choose to connect third-party platforms (such as Thumbtack) to Maidly. When connected, Maidly receives data from those platforms—such as leads, messages, or job information—through their official APIs. This data is used only to provide CRM functionality (e.g., displaying leads, syncing communication, or updating job status). We do not sell, disclose, or use connected-platform data for any purpose outside the CRM experience. Users may disconnect an integration at any time, which immediately revokes our access to that data.
6. Cookies and Analytics
We use cookies and analytics tools (e.g., Google Analytics, Meta Pixel) to maintain sessions, track usage, and improve performance. You can disable cookies in your browser, but some features may not function properly if you do so.
7. Data Security
We use reasonable technical and organizational measures—including encryption at rest and in transit—to protect information. However, no system is completely secure, and we cannot guarantee absolute protection.
For referral payouts, we limit access to payout-related information to personnel, service providers, and systems that need it for setup, support, reconciliation, fraud prevention, accounting, or legal compliance.
8. Data Retention & Deletion
We retain personal data as long as necessary for CRM operations and legal compliance.
API Data Use and Retention: Data imported from third-party APIs (including Thumbtack) is stored securely, encrypted at rest, and retained only as long as necessary to provide CRM functionality. If a user disconnects their integration, we delete or anonymize the associated data within 90 days, unless retention is required by law.
Referral Payout Retention: We may keep referral payout records, payout history, masked bank details, provider identifiers, and related support or audit records for as long as needed to administer the referral program, resolve disputes, prevent fraud, complete accounting, satisfy tax or legal obligations, and enforce our agreements. If a third-party payout provider hosts the payout setup flow, that provider may keep full bank account details according to its own retention schedule and legal requirements.
Users may request deletion of their data at any time by emailing info@maidly.io.
9. Children’s Privacy
The CRM is not intended for children under 13. We do not knowingly collect data from children. If such data is discovered, it will be deleted promptly.
10. Third-Party Compliance
Maidly complies with the data-use policies and developer terms of all integrated platforms, including Thumbtack’s Developer Terms of Service. We process only the minimum data necessary to perform authorized and user-approved functions.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted with a revised Effective Date. Continued use of the CRM after changes constitutes acceptance of the updated policy.
